Three Automated Sequences Every Business Needs
What Every Business Owner Needs to Know About Converting Leads on Autopilot
Nov 14, 2024
I’m sitting in a coffee shop in Hawley, Pennsylvania. It’s trickling snow outside and the Christmas decor fills the open rustic space.
Decaf latte in hand, lukewarm slow sips from my half filled cup… You get the vibe.
It’s just a perfect little ambiance to write out this week's newsletter.
I am reflecting on the last 12 months of business and some of the best successes and some failures that we had with campaigns.
You know, when clients come to Scaling Lean – the majority of the time the biggest need is for us to fill the gaps in marketing and sales with automation.
Automation = email + sms.
THE REAL PROBLEM
Most leads don’t convert because they’re ignored or forgotten.
Not because they’re uninterested.
Not because your service isn’t valuable.
They fall through the cracks because the follow-up wasn’t consistent, compelling, or timed right.
That’s where automated sequences come in.
When done correctly, these sequences keep leads engaged, build trust, and guide them naturally to a decision.
And the best part? They do it all without you lifting a finger.
What if your business could follow up with every lead perfectly—without you lifting a finger?
When I ask my clients this question, I see the mix of skepticism and hope in their eyes.
Because deep down, they already know there’s a better way to convert leads.
And trust me, when the system is built right, it’s a game changer.
I’m talking about building a system that feels personal, speaks directly to your prospects, and moves them naturally through the decision-making process.
Here’s how it works:
Perfect the Perfect Timing
You’ve probably heard that it takes 15-21 touch points to convert a lead into a paying client.
But here’s the thing — most business owners give up after 2 or 3.
Your leads aren’t ghosting you because they’re not interested.
They’re busy. Distracted. Unsure.
That’s why your sequences need to hit at the right moments.
↳ Immediate follow-up: As soon as someone expresses interest, they need to hear from you.
A simple “Hey, I saw you checked us out—how can I help?” email or text sets the tone.
↳ Strategic nudges: Over the next week, you send valuable insights, case studies, or quick tips that solve their biggest problem.
No pushy sales talk here—just helpful content that positions you as the expert.
Cutting the Noise
Most businesses make the mistake of talking about themselves.
You’re told to "introduce yourself” and “tell your story”.
What they care about is how you can solve their problem.
↳ Address their pain points right away.
↳ Build trust with social proof. (Share quick success stories or client wins.)
↳ End with a clear next step.
You can definitely tell a little about your story but only if it ties into the outcome or solution they are looking for.
No fluff. No BS. Cut through the noise with value, proof, and solution.
The goal? Every touchpoint should feel like you’re talking directly to them — because you are.
Now, finally → here are the Three Automated Sequences Every Business Needs
#1. The Immediate Follow-Up Sequence
Why? Speed Wins.
The moment someone expresses interest — whether they’ve filled out a form, downloaded a guide, or clicked on your ad — they’re most engaged.
But that window closes fast.
Your Immediate Follow-Up Sequence ensures you connect with them while they’re still thinking about you.
An Opt In → Message Them Within 5 Minutes.
↳ (Day 0 - Immediately) A warm welcome email that acknowledges their action. Keep it short and friendly.
↳ (Day 1) A second touchpoint to reinforce your credibility. Share a quick client success story or a testimonial.
↳ (Day 2) A reminder with a helpful resource (article, video, or case study). This positions you as an expert while keeping them engaged.
Why this works: Leads want to feel acknowledged and understood.
This sequence makes prospects feel like you’re on it—and positions you as the solution they’ve been looking for.
#2. The Nurture Sequence: Build Trust Over Time
Not every lead is ready to buy right away.
Your job is to stay top of mind, so when they are ready, you’re the first person they think of.
↳ Week 1: Send 2-3 emails focused on solving their pain points. These emails should:
Address common objections.
Provide quick wins.
Invite engagement.
↳ Weeks 2-4:
Transition to light-touch, spaced-out messaging.
Include client case studies, social proof, and FAQs.
Share behind-the-scenes content that humanizes your brand.
This sequence builds a relationship and positions you as an expert while gently moving them closer to a decision.
#3. The Re-Engagement Sequence
Reviving the Cold Leads.
Your Re-Engagement Sequence is your secret weapon for bringing cold leads back into the fold.
Start with curiosity.
Offer something new.
Ask for feedback.
The secret here is to spread out the touches.
Re-engagement can take time.
Space out your messages over 2-3 weeks to avoid overwhelming them.
People appreciate persistence — when it’s done thoughtfully.
By showing you’re still invested in solving their problem, you stay top of mind and reopen the door to conversations.
I’ve spent years perfecting the buyer’s journey through email and sms marketing.
I’ve seen firsthand how automation can transform a business.
When you combine these sequences, you’re not just automating tasks—you’re building a customer journey that feels personal, intentional, and seamless.
You stop chasing leads. You start converting them. And suddenly, you’re not just “in business”—you’re running a well-oiled machine that even your competition envies.
Now, I know what you’re thinking: “This all sounds great, but does it really work?”
Well, I would not have spent the better part of my morning writing this news letter if they didn’t/
These sequences are like avocado toast for millennials — essential, universally loved, and worth every penny.
I’ll respect your inbox and leave you off with this until Wednesday.
